Frequently asked questions

Answers on the BidWebStudio offer: what is included, revisions, articles, the AI Engine, hosting, domains, moving your current site and billing.

The offer

What does BidWebStudio actually build?

A website for your auction operation: a home page listing current and upcoming sales, a catalog page for lots, individual lot pages, a paddle or bidder registration page, terms of sale, and a settlement or results page once a sale closes. We do not run the bidding itself; the site presents your sales and links or embeds the bidding platform, CRM or payment processor you already use.

How long until my site is live?

7 days on Paddle, 10 on Rostrum while the AI agents are trained, and 15 on Block with the content engine running. The clock starts at the onboarding call, not at purchase, so the sooner the onboarding form is in, the sooner the site is live.

Can the site carry more than one sale at a time?

Yes. The catalog structure is built to list several active or upcoming sales on the home page, each linking to its own set of lots, closing times and terms, which matters for an operation running more than one sale room or event.

Getting started

What happens straight after I buy?

You fill in the onboarding form and submit it. It asks for the kinds of sales you run, your paddle or bidder registration process, your brand, your domain and where inquiries and consignment requests should land, and it takes about 15 minutes. If something is missing, submit anyway: you can send the rest by email or raise it as a ticket in your client portal, and it will not hold up the build. We then run one onboarding call to fill any gaps and agree the launch date.

What is the client portal?

It is your account with us, and you get it the day your site goes live. From the portal you request revisions, raise a support ticket for anything that needs attention, send us files you still owe us, and message our team directly. Everything to do with your site runs through it, so nothing gets lost in an inbox. You never log in to the website itself; we handle that side.

Do you need my current lot lists to build the site?

Not to start. We build the site structure, catalog layout and page templates from your onboarding answers first, then load your first sale once it is ready. If you already have lot lists, photos or past results, send them and we work those into the launch content instead of placeholder examples.

Revisions and the client portal

What counts as a revision, and what happens after five?

A revision is any change request you send, and there is no limit on how much goes into one. A new sale category, an updated terms of sale page, a different lot photo layout, a colour change: each is one revision. So is something much larger. "Add a spec-sheet layout for equipment lots and a provenance layout for antiques" is one revision, not two. 5 are included every month. After the fifth, each additional revision is a flat $20, with no cap on how many you can buy and no hourly billing anywhere. Every revision is completed within 2 to 5 working days of you sending it, whatever the size.

How do I actually request a change?

Raise it in your client portal. You describe the change, attach anything we need such as a new lot list or updated terms, and it lands with the team as a tracked request so you can see where it is. You can also email us or reply to any thread with our team, and we log it for you. Unused revisions do not roll over to the next month.

Can a revision update lot pages mid-sale?

Yes, a revision can update lot listings, closing times or terms while a sale is running. Send the change through the client portal and it is completed within 2 to 5 working days, so a correction does not sit unresolved through the close of a live sale.

Articles

What are the researched articles, and who writes them?

2 articles a week on Paddle and Rostrum, and 3 a week on Block, each 2,500 to 3,200 words. They cover topics bidders and consignors search for, such as how absentee bidding works or what a buyer premium covers, and every figure in an article is cited to a real source. They are written by our editorial team under the personas shown on each article, not by an auctioneer, and they never give licensing, escrow or legal advice.

Can we suggest article topics?

Yes. Send topics through your client portal and we work them into the schedule alongside the topics we recommend from what bidders and sellers in your sale categories search for.

The AI Engine

What does the AI Engine do for an auction site?

On Rostrum and above, the AI Engine answers common bidder questions on the site, such as pickup windows or how registration works, and can route a consignment inquiry to your team. It is configured to hand off anything that resembles bidding advice, valuation or legal guidance to a person rather than answering it, because that is not something we or the AI Engine are positioned to give.

Is AI usage billed separately?

Yes. Rostrum is priced $267 a month plus AI usage, billed monthly in arrears at what our providers charge us. There is no markup and no flat AI fee hidden in the base price.

Hosting and management

Is hosting an extra cost?

No. Hosting is included in the monthly fee and never billed separately. Your site runs on Cloudflare's global network with SSL, CDN, DDoS protection and unmetered bandwidth included. There is no hosting invoice, no SSL renewal, no bandwidth overage and no surprise line item during a high-traffic sale.

Can the site handle a traffic spike right before a sale closes?

Yes, hosting runs on Cloudflare's CDN with unmetered bandwidth, which is built to absorb the kind of traffic spike a closing sale or a well-shared lot can bring, without an overage charge landing on your invoice.

Domains

Do I have to pay for a domain?

No. One domain is included free for as long as your plan is active, registered in your name through Cloudflare Registrar or Spaceship, so you own it outright. If you already have a domain we point it at the new site instead and nothing changes for people who know your current address. If you ever leave, tell us where to send the domain and we transfer it at no charge.

Moving from your current site

We already have a site with sale history indexed in Google. Will we lose that?

No, that is the point of a managed move rather than a fresh start. We map your existing sale, catalog and results URLs to their new equivalents and put 301 redirects in place at launch, so a bookmarked or indexed page still resolves and search rankings carry over rather than resetting.

Can you move our past sale results and archive over?

Yes. Send us your past results, whether that is a spreadsheet, a set of PDFs or an existing archive page, and we rebuild it as a proper archive page on the new site during the build, as part of onboarding rather than as a later revision.

Billing and cancellation

What do I actually pay, and when?

You pay the monthly fee for the tier you choose up front: $127, $267 plus AI usage, or $647 a month. The $697 one-time build fee is invoiced only after your site is live and you are satisfied with it. Domain and hosting are inside the monthly figure.

How do I cancel, and how much notice do you need?

Email us and say you want to cancel. Your message must reach us at least 2 business days before your next invoice date, during business hours, which are 9:00 to 17:00 Central Time, Monday to Friday. A message sent outside those hours counts from the start of the next business day, so a weekend email does not give 2 business days of notice for an invoice due Monday or Tuesday. With valid notice, no further invoice is raised and your site runs to the end of the month you have paid for. With late notice, the next invoice is charged as normal and the cancellation takes effect at the end of that month.

Do you offer refunds?

No. All sales are final, and that includes monthly fees, the build fee, extra revisions and any cost we pass through at what our providers charge us. We do not refund for a change of mind or for a month you did not use. The one exception is a duplicate or incorrect charge made by our billing: tell us within 30 days and we correct it within 10 working days. The build fee is charged only after you have approved your site, which is exactly why it is not refundable afterwards.

Can we upgrade tiers between sale seasons?

Yes. Moving from Paddle to Rostrum or Block takes effect from your next billing date, and we schedule the AI Engine or content engine setup work as part of that change rather than treating it as a rebuild.
